Members & departments

Members & departments

Members and departments are the foundation of your org structure. Here you add members and organize departments, and departments are exactly where capability distribution lands — assign capabilities to a department, and members inherit them by department. The page is split into two tabs: “Members” and “Departments.”

1 · Overview

  • Members — every person in the organization, including role (Owner / Member), department, and status.
  • Departments — a single-level functional division, the assignment target for capability and knowledge base authorization.

2 · Member management

Key metrics: total headcount, Activated, Pending, Deactivated, and Seats (used / total).

Filters: quickly locate by status, role (Owner / Member), department, and keyword.

The system has built-in self-protection: you can’t deactivate or demote yourself, and the organization must keep at least one owner.

3 · Invite members to join

  • Invite others to join the organization with an invite link or QR code.
  • When needed, you can reset the invite link; the old link expires immediately.
  • The invited email must first have permission to use Aureink; when no seat is available, adding is blocked (with the prompt “the organization has no available seats”).

4 · Department management

Maintain the org structure on the “Departments” tab (currently single-level departments):

  • Create / rename / delete departments (a non-empty department can’t be deleted — move members out first).
  • Bulk-import departments: download the XLSX template → fill it in → upload. An empty ID is treated as a new department; an existing ID is treated as a rename.

5 · Important notes

Important notes

  • Seat cap: adding members is bound by the organization’s seat limit; exceeding it is blocked.
  • Departments are where assignment lands: capability and knowledge base authorization is assigned to departments, and members inherit by department — plan departments first, then assign.
  • Deactivation takes effect immediately: after a member is deactivated, their use is suspended right away.
